How do I know which version of the Studio Organizer I have?
Open the Studio Organizer and go to the Main Menu. You'll find the Version # is displayed in the middle of the Main Menu.

The version # also appears in the window title and the Studio Organizer folder name.

How do I find out if a newer version of the Studio Organizer is available?
All registered users are sent an email as soon as a new version is released. You can always check for, download and install each update by opening the Studio Organizer and going to the Main Menu.

In the middle of the screen at the bottom is a button.
An internet connection is required.


How get my data into the new version?

Your Student Photos
In order to automatically transfer your student photos, the image files must be stored in the Student Photos folder inside the the Studio Organizer folder. If you place them anywhere else, when you update to a new version, you photos will not transfer properly and you'll have to manually reinsert your photos. Also, you must use the use the Updating the Studio Organizer Wizard to complete the updating procedure.

The School Setup Tutorial
If you haven't printed and read the School Setup tutorial please do so. The majority of questions and issues submitted to technical support are answered or prevented by reading the School Setup tutorial. Unlike most computer manuals, the tutorials are very clearly written and easy to understand. Reading the School Setup tutorial will save you considerable time and frustration. Just go to the Main Menu and click the Tutorials button.

Several fixes for network users: removed record locking at startup and a message that appears when beginning attendance check in.

Fixed a bug which caused invoice duplication option #3 (duplicate invoices on the same day of each month) to skip a month if the past due date was in the next calendar month.

Added a "New" button to the School Info screen for creating styles, classes, teams and inventory items.

Updated information for requesting a new Registration Code when changing School name or address.

Images of inventory items will now display correctly on the Retail Price List report.

Version 5v17 - 21 March 2012

This feature alone is worth updating for: select "QuickFind" from the drop down menu below the Find button and search ALL data fields with one mouse click. There's no need to click into any one field and hope that's where you'd entered what you're looking for. The QuickFind feature will search every field.

Student Photos can now be displayed on the Attendance check in screens as well as Class Roster and Attendance Sheet reports. This feature is automatically enabled. Go to the Attendance Check In folder tab of the Preferences screen and make a selection from the new "Display Student Photos" drop down menu at the top of the screen if you wish to make changes.

Numerous changes to the Support Wizard to make it even easier to use.
Please be sure to click the Support button each time you submit a question.

Fixed a bug in attendance check in, option 4 if advance checkin is being used and it's the first checkin of the day.

Fixed a bug which caused attendance entries recorded using the touch screen feature to display blank student names on the Attendance folder tab of the Class Detail screen.

Fixed the class count on the tooltip on the Enroll All button when viewing Saved Lists.

Revised the class enrollment scripting to properly display enrolled classes and eliminate blank enrollments appearing on the Class Detail screen.

Added merge fields for Templates:
Custom Text 5, Custom Text 6, Custom Date 5, Custom Date 6.

If a Style has no Ranks or Levels it's name will appear as "No Ranks" or "No Levels" in the list of Styles on the School Info screen. This is to ensure each Style has at least one rank or level.

Added the ability to add boilerplate text to every invoice. Go to the Settings folder tab of the School Info screen and enter your text in the new "Invoice Boilerplate Text" field. Boilerplate text appears below invoice comments.

On the Invoice Entry screen individual invoice items can now be edited by clicking the blue arrow to the left of the item. The Item Details screen that appears now includes editable tax rate fields.

For users in Ontario, Canada:
Added HST to the drop down list of tax options on the Invoice Entry screen.

Version 5v16 - 4 February 2012

Updated Canadian tax labels. The PST label will become HST if the Country is Canada and the Province is Ontario.

An error will be displayed at startup if the data files are being opened from the Dropbox folder. Carbon Copy and Dropbox should be used for backup purposes only. Please read "Using Dropbox or Carbon Copy" in the built in Help under the Backing Up category.

An error will be displayed at startup if the data files have been moved outside the Studio Organizer folder.

Added a confirmation dialog box to the Finish button when transferring files or attendance.

Fixed a bug in the Inventory module. An error message is not longer displayed when inserting photos of inventory items.

The Attendance Checklist now includes small student photos next the to students name. To view the checklist, go to the Style, Classes and Attendance screen and select "Checklist" from the drop down menu below the Check In button. Single click the Check In button, then select a class. You'll now see the checklist, which includes students photos.

Fixed a bug which caused the access level displayed on the Main Menu to always display Admin, even when the access level was Staff.

Fixed a bug which caused the Points Remaining on the Expiration and Eligibility folder tab of the Style Detail screen to remain empty.

Fixed a bug which caused the Test List to display "No Found Records" when there are eligible students.

Corrected a bug which would display a blank window if "Student ID cards" is entered in the drop down menu below the Print button on the Student Info screen.

Changing your school name or address is now faster. Select Change School Address from the Help menu, print, sign and date the form. Scan the form, or take a photograph of it, then attach it to an email addressed to tech@studioorganizer.com.

Added more detailed information to the email created when you click the Support button. Please be sure to use the Support button each time you submit a question to Technical Support.

Removed the "Save to File -> Excel" command from the File menu.
Please use the Export Files command.

Changes to Disable Master Password scripting and messages.

When viewing the modify Student ID cards screen, the Format menu is now available in the menu bar at the top of the screen.

Changes to printer settings that will hopefully stop HP some printers from automatically setting themselves to double sided printing.

Macintosh Lion OS X
Updates the Macintosh runtime of FileMaker Pro to 11v04. Includes the following OS X Lion only bug fix: Addressed an issue with some date field formats showing Asian characters. The Studio Organizer is Lion compatible.

Version 5v14 - 7 June 2011

After printing Avery 5361 ID cards, all student ID cards are no longer displayed. Only the Found Set that was printed is displayed.

Fixed the drop down menu for the 5th Custom Text Field.

Added the Expiration and Last Test Date to the sticky note that appears when the cursor is held over the Style name on the Styles, Classes and Attendance screen.

If spaces or returns are entered after the First or Last Name is entered, they are deleted when the field is exited.

Fixed the Duplicate button on the Edit a Rank (or Level) screen.

Fixed the Duplicate button on the Staff screen.

If creating or viewing a Note from the Staff screen, a warning dialog will appear if the staffer does not have a password. Please be sure to read the School Setup tutorial and create your own passwords.

Added internal link numbers to Notes entry screen.

Many changes to the Transferring Files and Updating scripts so if files aren't in exactly the right place, things will be cleaned up accordingly. This includes correcting errors in the name or location of the Student Photos folder if any updating or transferring errors occur.

Added a delete button to the Passwords & Access folder tab of the Staff screen.

After clicking the Finish Updating button, if you receive a message stating:

Version 5v13 - 10 May 2011

Added A4 mailing and bar code labels. The Letter Size you have selected on the Settings folder tab of the School Info screen is used when creating mailing or bar code labels. If you have US Letter selected, the labels page will be formatted for 30 labels on a 8.5" x 11" sheet. If you have A4 selected, the labels page will be formatted for 30 labels on a 210 × 297 millimeter (8.27" x 11.69") sheet. Some printers may not print the last row of labels because it's too close to the edge of the paper.

Fixed the Replace buttons (green check marks) on the Rank Entry screen.

Numerous revisions to the tutorials and updated the built in Help.

Fixed the text on the student ID cards when selecting a Custom field.

Fixed the sorting order of the Birthday report.

Fixed a bug which displayed an error when printing 5361 ID cards and selecting option 3. Also when printing 5361 ID cards to a partial page, the unused ID cards are now completely blank -- just to save a little bit of ink.

Added "View as Table" to the View menu for attendance reports.

Version 5v11 - 15 February 2011

The text on the Main Menu stating the School Setup tutorial has not been printed will now clear if the tutorial has been printed. This was a short lived attempt to remind folks to read the tutorials -- only because doing so really, really helps. But the message turned out to be annoying to users, and that's certainly not the goal. Sorry for the inconvenience.

Removed the error message stating updating or transferring files was unsuccessful if attendance counts differ by 1. This means a blank record had been deleted.

Created a third variation of the Test List report with more details. This version of the report is called Detailed, the original is called Standard, and there's also a Brief version.
To create the Test List, go to the Styles, Classes and Attendance screen and set the drop down menu below the Promote button to Test List, then single click the Promote button. To create this report for students attending today's class, select the Class Name on the Report Options screen and enter 0 in the Days Since Last Class field.

Added the total points possible, completed and uncompleted by Style to the Points folder tab of the Style Details screen.

Adjusted Time Card report to prevent text clipping.

Added Bermuda to list of supported countries. Welcome!

If you're updating from Version 5v08 or earlier please note:

• Do not run the Backup Wizard more than once. On some operating systems this may cause the backup folder to be deleted.

• If you receive an error message stating a _5vXX.tso file could not be found, click OK then Cancel in the Open File dialog box and the updating/transferring will continue. This may need to be done twice.

Version 5v10 - 10 February 2011

This update is for both Macintosh and Windows users and contains all previous updates. Please be sure to read the version history for 5vb9 and 5vc9.

By popular demand added a "Do Not Create Backup Folder on Desktop" preference to the General folder tab of the Preferences screen. The default is unchecked.

Changed the name format of the backup folder created on the Desktop to accommodate Windows XP 5.1 users. Backup folders are now named "tSo Backup XX" where XX is a unique number.

Since Avery is no longer making the 5361 ID cards with perforations between the cards, users can now print on sheets that have already had one or two ID cards printed on them. When viewing the 5361 ID cards, just click the Print button, then select the number of the first available ID card on the sheet.

Avery 5361 ID cards are now sorted by name when printed.

This update uses the FileMaker Pro 11v03 Runtime engine which corrects some printing problems.

Network users: Please be sure to download and install this free FileMaker Pro update from www.filemaker.com.

Version 5vc9 - 24 January 2011

This is a Windows Only Update

Changed the name of the duplicate backup folder created on the Desktop to accommodate Windows XP 5.1 naming conventions and changed the wording of the error message if the folder cannot be created.

Added a warning message to the Main Menu if the School Setup tutorial has not been printed. (If you have already printed the School Setup tutorial you can remove this message by clicking the Tutorials button, then starting to print the School Setup tutorial, but clicking Cancel in the Print dialog box presented by your printer software.)

Windows Operating System Workaround

Some Windows OS users have reported being unable to launch the software after a crash. The workaround to this is to NOT launch the software using a shortcut. Instead open the Data folder inside the Studio Organizer folder and double click the Studio Organizer 5vXX.exe application file. Please use only the Master account name and password when prompted.

Once the software reopens, a consistency check will be performed to scan for corruption. Shortcuts and other passwords can then be used after the software has successfully opened.

This bug may be a FileMaker Pro 11 issue, or a Windows operating system issue, it's not known where the problem lies. It's likely to remain unresolved since experience has taught Microsoft will blame FileMaker Inc., and FileMaker Inc. will blame Microsoft.

Fixed a bug which caused the blue arrow buttons to incorrectly display a letter.

The background colors of fields on the attendance check in log are inverted if the date of attendance is not the current date. This provides a visual clue for spotting check ins not created on the current date.

Added the day name to the attendance date sticky note. Hold the mouse over an attendance date or time field on the Styles, Classes & Attendance screen and the sticky note will appear. This has also been added to the date field on the Style Details screen.

 

FileMaker Pro 11v02 Update
The Studio Organizer was built using FileMaker Pro Advanced 11. FileMaker Inc. has updated their software, and this version of the Studio Organizer uses that update.

Updated the Smart Support Wizard to check the length and contents of tech support inquires. The goal is to help users provide detailed information quickly and easily.

Duplicated inventory records now have a unique inventory #.

Users can now use their own student numbering system. There's a now a Next Student # field on the Defaults folder tab of the Preferences screen.
Type in a number, and the next student record created by clicking the New or Duplicate buttons on the Student Info screen will use this number. Only numbers are allowed.
Or you can leave the field alone and the default student numbering system will be used.

Cleaned up the Test List reports. Added Points.

Changes to Duplicate button on Student Info screen.

Changed dialog boxes when modifying passcodes.

Fixed the mislabeled Edit Attendance Wizard screen.

Added merge fields for points possible, completed and uncompleted that can be added to form letters or the attendance greeting.

There is an anti-tampering feature in the software that will lock the software if the date setting on your computer has been rolled back to a previous date. Please do not change the date setting on your computer to a future date then open or use the Studio Organizer.

Version 5v02 - 9 June 2010

Changed file designators to allow Martial Arts Organizer 4 users to more easily upgrade. The down side is users that have data in the Studio Organizer 5v01 will have to have tech support reset their data files in order to update beyond version 5v01. This is very quick and easy to do. Just go to the Wizards menu and select Backup Snapshot. This will create a dated backup folder on your Desktop. Compress and email this folder to tech@StudioOrganizer.com. Your files will not be opened, only a file setting will be modified. Your files will then be returned to you very quickly so you can update to version 5v02. Turn around time will be very fast, so don't worry about being without your data for too long. Sorry for the inconvenience, this will only be necessary when updating from version 5v01.

Updated Windows installer to prevent "side by side" or "application configuration" errors when launching the software.

Added names of files inside the Studio Organizer folders to the information provided when using the Smart Support Wizard.

Minor modifications to reports. All reports can now be viewed in a spreadsheet format. See Customizing a Spreadsheet Style Report in the built in Help.

Version 5v01 - 4 June 2010

Here it is! The first version of the fifth generation of the software that been sold to over 1400 martial arts schools around the globe.

The tutorials have been updated, but only the School Setup tutorial has been completely proofed and polished. Print it! The other tutorials need just a bit of polish and proofreading, so don't print them just yet. They'll be updated in the very near future.
